How can email, ERP and spreadsheets share one workflow without replacing the ERP?

Set clear system ownership, connect one recurring handoff and make exceptions visible before expanding.

Email, ERP and spreadsheets can share one workflow when each system keeps a clear job. The ERP remains the system of record for transactions it owns; email is an intake channel; a spreadsheet can be a temporary view or exception list. A workflow layer coordinates evidence, owners and approvals between them.

Choose one recurring handoff

Take supplier invoices arriving by email while purchase orders live in the ERP and receiving notes sit in a spreadsheet. Map the event that starts the case, the fields needed for a decision, the person responsible at each step, and the final status written back to the ERP. Avoid copying every record from every system.

Set source boundaries

Define which system may create or change an order, who confirms receipt, and where approved invoice status belongs. Give the workflow only the access it needs. If the ERP has a supported API, test it with explicit permissions. If it does not, try a controlled import/export process with review. Integration feasibility has to be verified for the actual system.

Make exceptions visible

Suppose an email brings an invoice referencing PO-4812. The workflow stores the message and attachment, finds the order, compares invoice data with the ERP order and accepted quantity, then assigns a mismatch to a reviewer. The reviewer sees the evidence and chooses whether to request a correction, update an approved receipt or escalate. The workflow writes only the allowed result.

Design for duplicate emails, missing attachments, changed spreadsheet columns, an unavailable ERP API and delayed responses. Each failure needs a visible case state and retry or human action. A silent error should never look like completed work.
